Ionics LLC ("we," "us," or "our") operates the Dialeva AI Front Desk platform ("Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service. By using Dialeva, you agree to the collection and use of information in accordance with this policy.

2. Information We Collect

2.1 Account Information

When you create an account, we collect your name, email address, business name, phone number, and billing information.

2.2 Call Data

We process inbound call audio for real-time transcription and AI-assisted responses. Call recordings, transcripts, and metadata (duration, caller ID, sentiment scores) are stored securely.

2.3 Usage Data

We automatically collect device information, browser type, IP address, pages visited, and feature usage patterns to improve the Service.

2.4 Client Data

Information about your clients (names, phone numbers, appointment history) that you enter into or that Dialeva captures during calls is stored on your behalf.

3. How We Use Your Information

  • Provide, maintain, and improve the Service
  • Process calls and generate AI responses in real time
  • Send appointment confirmations, reminders, and follow-ups
  • Process payments and manage your subscription
  • Provide customer support and respond to inquiries

4. Data Sharing

We do not sell your personal data or your clients' data. We share information only with:

  • Service providers: Supabase (database), Twilio (telephony), Deepgram (speech-to-text), ElevenLabs (text-to-speech), Anthropic (AI), Stripe (payments)
  • Legal requirements: When required by law, subpoena, or court order
  • Business transfers: In connection with a merger, acquisition, or sale of assets

5. Data Security

We implement industry-standard security measures including TLS encryption in transit, AES-256 encryption at rest, role-based access controls, audit logging, and regular security reviews. For healthcare customers, we offer HIPAA-compliant infrastructure with signed Business Associate Agreements (BAAs).

6. Data Retention

Call recordings and transcripts are retained for the duration of your active subscription plus 90 days. Account data is retained for 30 days after account deletion. You may request immediate deletion of your data by contacting us at privacy@dialeva.com.

7. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access and receive a copy of your personal data
  • Correct inaccurate personal data
  • Request deletion of your personal data
  • Object to or restrict processing of your data
